Privacy Policy

Important: This policy describes the current hosted application code supplied for review. The current version asks each person who signs in to authorise access to that person's own Google Drive. It does not yet implement a single, centrally managed Google Drive account for all users. This policy and the application must be updated if that storage arrangement changes.

1. About this application

JJ Rentals is a private rental-management application intended for authorised users. It provides tools for managing rental properties, tenancy and rent records, contracts, signatures and related documents.

2. Information processed

Depending on how the application is used, information may include account email address, property details, tenant and contact details, rental and payment records, contract information, signatures, uploaded documents and images, and information entered into application records.

3. Google sign-in and Google Drive

The application uses Google Identity Services to let a user sign in with a Google account. When the user grants permission, the application requests the Google Drive drive.file permission. The current browser-based version uses that permission to find or create an application folder named “JJ Rentals” and to read and save application files and folders available to the application in the signed-in user's Google Drive.

Google account information and Drive content are processed to provide the application's sign-in, synchronisation, backup and document-management features. Google API access is governed by Google's terms and privacy policy. The application does not ask users to provide their Google password to the application.

4. Where information is stored

In the current version, application records and documents are stored in the Google Drive associated with the Google account that authorised the application. Some preferences and the last-used account/folder identifiers are stored locally in the browser. Google access tokens are held in application memory while the session is active.

Do not use this version to promise that all users' data is stored in one designated administrator account. That requires a separate server-side storage design and must be implemented and tested before this statement can be changed.

5. How information is used

Information is used to authenticate users, operate the rental-management features, display and update records, create and manage documents, synchronise changes and provide backups where configured. It is not sold.

6. Sharing and service providers

The application uses Google services, including Google sign-in and Google Drive APIs. Information may be processed by Google as necessary to provide those services. Users should only enter or upload information they are authorised to manage. Access to files may also be affected by sharing settings in the relevant Google Drive account.

7. Security and access

Access to Google Drive is subject to the permissions granted by the signed-in Google account. Users should protect their Google accounts and devices, sign out on shared devices, and avoid sharing access to folders containing confidential rental information. The application owner should separately maintain an approved-user access control before treating the application as restricted to a specific group.

8. Retention and deletion

Records remain in the relevant Google Drive until deleted by an authorised user or account owner. Browser-stored preferences can be removed by clearing the site's local storage. Revoking the application's Google access can be done through the Google Account security settings; revocation does not automatically delete files already stored in Drive.

10. Changes to this policy

This policy may be updated when application features, data flows or legal requirements change. The latest version will be published on this page.
